What follows is the approach you can use to get started with the Membership Database or the Stake database. You can adapt these instructions for the other programs.
Step 1 - Download and Decompress - Download and decompress the zip file. You should end up with a folder called Membership Database. Note to Window’s users: it is very easy to think your file is uncompressed because you can open and look inside the compressed files/folder. However, make sure the file has been unzipped otherwise it will not work. Try right clicking on it and if you can see an option for uncompress, select that.
Step 2 - Export Data from MLS - Go to MLS, export the information. To accomplish this, go down the File menu and select Export the scv files by selecting- the following files to download (it is useful to save these on USB memory stick):
Step 3 - Move Exported Files into Membership Database directory - Move the exported files into the Membership Database folder. The best way to do this is to use a USB memory stick, transfer those files to the memory stick and then copy the files from the memory stick to your computer and put those into the Membership Database directory. Those files have to be in that folder otherwise the program will not be able to import them.
Step 4 - Run the program and login - Go into the Membership Database folder and look for a file called "Membership Database" (or Membership_Stake). Double click on that to open it. Sometimes Windows or the Mac system requires you to enter your computer's account username and password the first time the application runs. This login requires your computer account username and password (only you know that). Once you are past that then you will see the Membership Database login. When it asks you to login to the Membership database use the following information:
The system will then ask you to enter a new password (have to enter “admin” as your old password and confirm the new password). It is imperative that you remember the new password for security reasons the initial password will no longer work. Your username will remain as admin.
Step 5 - Import MLS data - Select the "Utilities" button, then the "Import from MLS" button. If you have done everything properly that should import all your membership records. Go to the Main Menu and then the Detail page to see each record and confirm the information came in properly.
I would suggest going through the following tutorials, in this order
The program has security built-in; security is through the administrator password. That can and should be changed so that you are the only one with admin rights and the only one who knows the admin username and password. Anyone who casually tries to access the program should be denied because they don’t know your username or password.
As an added level of security, you should also have a username and password for your system computer account. Note: once you customize the membership database username and password, the original password and username will no longer work.
Using your own laptop computer for this adds to the security - using the ward computer is probably not only inconvenient but could raise security issues.
Read Only Access
It is possible to access the database with read-only and restricted access, to do this login with the following username and password:
(can be changed with admin access)
This level of access only allows users to view non sensitive fields of information (For instance, in read only mode users can't view the “issues” field).
